Day-to-day work
Rolling the sectioned Details form onto deals you already have
You've turned on the sectioned Details form, or you're about to, and the deal list still shows every field you've ever had, in the order they arrived. This is the order to work through, start to finish.
Nothing here touches a deal one at a time. Your fields are set up once for the whole organisation, and every deal (the ones from last year included) shows the same list the moment you save. There is no per-deal migration, and no cut-off date. Answers already saved stay exactly where they are throughout.
Do it on one deal you don't mind looking at mid-way through, and you'll see each step land. Roshean Test or similar.
1. Switch the form on
Settings → Deal properties, tick Group the Details tab into sections. You need to be an owner.
Nothing is lost by turning it on: the same fields, now grouped. Turn it back off and you get the plain list again, though read the note on the Details form guide first if you've since created Yes / No / N-A or multiple-document fields, because the plain list can't show them.
2. Name your sections
Sections are just headings you type. Lead, Scoping, Details for contract, Pre Start admin tasks, Build: whatever matches how the job actually runs.
Open each field you're keeping and fill in Section (optional). The headings you've already used show up as buttons above the box before you type anything. Pick one, or type a new name to start another, so *Scoping* and *scoping* don't end up as two headings with half your fields under each.
Anything you leave blank drops into an Other details group at the bottom of the deal. That's deliberate: nothing hides just because you haven't got to it yet. It also makes the next step easy.
3. Retire the fields you don't want
This is the part that turns "every single option is still there" into your list.
Work down the list sectioning what you're keeping (step 2), then at the bottom of the panel press Select all unsectioned. What's left ticked is exactly what you meant to retire, and press Archive selected.
Archiving is not deleting. The field stops being offered on deals, every answer already saved stays in place, and Restore brings it back if you were too keen. You can also tick fields by hand if you'd rather go one at a time.
A field that arrived from a HubSpot import is an ordinary field here and archives the same way. You don't need anyone to hide it for you.
4. Put them in the order you read them in
Sections appear in the order of the fields inside them: a field near the top of your list pulls its section to the top. So set the field order and the sections sort themselves; there's no separate section ordering to keep in step.
5. Point your lead capture at the fields
Settings → Lead capture. On a form that creates deals, each question has a target. Open it and your fields are listed under Deal property. Pick one and that answer lands on the deal instead of sitting in the enquiry. *Initial client budget* and *Initial enquiry notes* are the usual two.
The question then asks for the answer the way that field expects, so what comes in always fits. A question left on Custom column gets a deal property of its own the first time you save.
This applies to enquiries arriving from here on; it doesn't backfill deals you already have.
6. Open a live deal and check
Settings → Deal properties has an Open a deal → shortcut right beside the tick box once it's on, if you'd rather not go find one yourself.
On the deal's Details tab you should see your headings, each with a count of what's answered and what's completed, and the fields you archived gone.
Fill one answer in and it stamps your name and the date under the field. If a count reads oddly, remember that a No counts as answered but not as complete: the Details form guide explains how the two counts differ.
If you're setting this up for a second organisation
Export deal properties at the bottom of the panel gives you the whole list as a file, and Import deal properties in the other organisation shows you what it would change before anything is written. Sections, order and all. Archived fields come back archived, so a restore never quietly re-offers something you retired. See Deal properties for what an import will and won't change.
