Field accounts for on-site team members

Who can use it. Owners on Crew and Company plans can add Field accounts. Field team members see only the jobs they're assigned to and have a to-do list of their own. A Site Lead can also hand out work on the job they lead. Clients do not use this role.

What it's for

Field accounts give people working on site the job scope and customer details they need without exposing office or financial information.

How to use it

  1. Open Clients, switch to Team, and choose Add user.
  2. Select Field, enter the team member's details, and send their invite.
  3. The team member signs in with their magic link and completes MFA. They land on the Field dashboard.

What it affects

Field team members can open the Pipeline, search for a deal, open its Details and Estimate tabs, and use the company-wide read-only schedule. The board is read-only: they cannot create or move deals, and amounts are not shown. Estimate lines show scope such as description, quantity, unit and notes, without prices or costs.

When My To-Dos is enabled, Field members also have a personal to-do list for reminders and work assigned to them or raised by them. A personal reminder is private and assigned to its creator. A site issue is linked to a job and sent to an active same-company Staff member or Owner. Field members can update progress, add plain-text comments and add their own photos/files to a task description they can access. They can edit ordinary details, including title and due date, only on a task they raised; they cannot change a reminder into a site issue, or change its job, recipient, privacy, labels or groups. Private reminders remain visible only to the person who created them. Timed reminder scheduling, office task boards, labels, status administration and other people's work stay unavailable.

Assigned jobs and Site Leads

Your company can enable assigned-jobs-only access. With this enabled, Field members see only jobs they have been assigned to, including job search, schedules, specifications and daily logs. If a job is missing, ask a Staff member or Owner to check the assignment. Creating or receiving a to-do does not grant access to its job.

Staff and Owners manage this on a job’s Details → Job crew & access section. Search for an active Field member, choose Field crew or Site Lead, and assign them to the job. Use Make Site Lead, Make Field crew or Remove to change access. These assignments are separate from client portal sharing.

A Site Lead is still a Field account. On that job only, they can see shared to-dos, assign work to eligible crew or the office, and change due dates and progress. They cannot read anyone else’s private reminders, delete shared work, edit another person’s task description, change company roles or see financial information. Lead powers do not carry over to another job.

Removing someone from a job removes access to its linked work when scoped access is active. It does not erase their site records or private reminders. Demoting a Site Lead to Field crew keeps their job access but removes task-coordination powers.

If someone stops being an active Field member, their saved job grant is shown as Inactive to the office and gives no Field access. Remove that grant if it should not return when their account becomes Field again. Inactive grants can be removed, but cannot be promoted or demoted.

Assigned-jobs-only access ships enabled in this release: Field members without assignments see no jobs. Staff or Owners must assign their crew to the appropriate jobs. If an operator temporarily disables scoped access, the crew panel says it is not active; assignments can still be prepared, but company-wide Field job visibility returns and Site Lead powers are inactive until it is enabled again.

Good to know

  • Field accounts cannot open Clients, Financials, Automations, portal administration or other office pages. They can use the account-security page to manage their own sign-in and notification-email preferences.
  • They cannot see deal values, costs, margins, totals, invoices, payments, profitability, staff activity or linked-system identifiers.
  • Field accounts use a staff seat and are available on Crew and Company, not Solo.
  • The existing Employee role is displayed as Staff. Staff keeps its existing access; only the label changed.
