Your business
The Terms of Service
The rules for using Summit Hub — the agreement between Summit Hub Limited and your business — live at summithub.co.nz/terms. There's a Terms link in the footer of every public page, so you can always get back to them.
Agreeing at sign-up
When you create a Summit Hub account, the sign-up form asks you to tick a box confirming you've read and agree to the Terms of Service and the privacy policy. Both links beside the box open in a new tab, so you won't lose what you've typed. It's one tick for both: the terms are the agreement, the privacy policy is what happens to personal information, and you agree to them together.
You can't sign up without ticking it — the sign-up email simply doesn't send. When you do tick it, we record the acceptance (which version of the terms, which version of the privacy policy, your email address, and when) so both sides have a record of what was agreed.
When the terms change
Each version of the terms carries a version number and a "last updated" date at the top of the page. If we make a material change, you'll get at least 30 days' notice by email, and a change that makes the terms worse for you doesn't kick in until your next billing period after that notice — you're never worse off mid-way through time you've already paid for. That's clause 19 of the terms themselves.
You'll also be asked to read and accept the updated terms in the app. The account owner gets that request on their next page, whether or not they sign out first. The screen links the updated Terms and Privacy Policy, and one click records the acceptance for the business; after that everyone carries on as normal.
Only the owner is asked, because only the owner can agree to the terms on the business's behalf. Office staff see a small banner letting them know the terms changed and naming the owner who needs to review them — they can dismiss it for the rest of that sign-in (it comes back next time they sign in, and it never carries over to someone else signing in on the same computer), and it disappears for good once the owner accepts. Field crews and your clients in the portal aren't interrupted at all.
We keep the exact text of every version there has ever been, so if you want to see the version you originally agreed to, just ask us and we'll send it to you.
Who they apply to
These terms cover the business that holds the Summit Hub account — you, as the builder. They're written for business use. What your own clients agree to is separate: you can put your own terms in front of them with the customer agreements feature, and their portal experience is covered by your relationship with them, not by our terms.
